The Challenge

Aon was looking for a strategic partner to process the inbound documents it receives. On a daily basis, the firm processes a large volume of secure, sensitive documentation which takes valuable employee hours away from core business activities.

The firm needed a partner who had state-of-the-art scanning equipment and a dedicated team that could process the inbound documents quickly, securely and accurately.

The Solution

Inbound Document Processing is now undertaken by Adare SEC on behalf of Aon’s customers, receiving secure, sensitive documents including passports, cheques and certificates via a PO Box address.

These sensitive documents are prepared, processed and scanned by our Inbound Document Processing team, and a digital image of the document is securely transmitted to Aon using an SFTP link in a number of pre-agreed file formats. Aon, in turn, retrieves these images for further action.

We perform bulk and ad-hoc secure back-scanning projects, such as digitising personnel files, where we collect large volumes of legacy, archived ‘paper files’. Once collected and delivered, the files are sorted, prepared and processed in the same way as the daily postal receipts.

More recently, Adare SEC physically pays cheques upon receipt directly into the associated Aon scheme accounts, securely stores them and then, finally, securely destroys them when processed.

The Benefits

Our Inbound Document Processing team securely processes around 25,000 documents per month on behalf of Aon, achieving savings of £2.5 million in the first year of the contract through processing efficiencies and reduced overheads.

We offer an end-to-end solution to Aon. On average, we produce around 100,000 pensioner payroll schemes per month and two million outbound mail pieces per annum on behalf of the firm.
